Refund & Cancellation Policy

Registration fees for the International Speleological Congress 2029 ("Speleo 2029") help fund venue reservations, logistics, transportation, equipment, printed materials, and other organizational expenses incurred well in advance of the event.

For this reason, the following cancellation policy applies.

Participant Cancellation

  • Cancellations received before January 31, 2029 are eligible for a full refund, less a processing fee of US$25.
  • Cancellations received between February 1 and April 30, 2029 are eligible for a 50% refund.
  • Cancellations received after April 30, 2029 are non-refundable.

The organizers may, at their sole discretion, allow registration transfers to another participant if requested before a specified deadline.

Event Cancellation

If Speleo 2029 is cancelled by the organizers before it begins, registered participants will receive a refund of the registration fee actually paid, less any non-recoverable payment processing fees where permitted by law.

The organizers are not responsible for reimbursing travel expenses, airline tickets, hotel reservations, visas, insurance, or any other third-party costs.

Force Majeure

The organizers shall not be liable for cancellation, postponement, or modification of the event due to circumstances beyond their reasonable control, including but not limited to:

  • natural disasters
  • severe weather
  • war
  • terrorism
  • civil unrest
  • epidemics or pandemics
  • government restrictions
  • strikes
  • failure of utilities
  • other events making the congress impossible or unsafe.

In such circumstances, refunds may be limited to the extent permitted by applicable law after deduction of unavoidable expenses already incurred.

Payment Processing Fees

Payment processor fees, bank fees, currency conversion fees, and similar transaction costs are generally non-refundable unless required by applicable law.

Refund Processing

Approved refunds will be issued using the original payment method whenever possible.

Please allow up to 30 business days for processing.

No-Show Policy

Participants who do not attend the congress without prior cancellation are not eligible for a refund.
